Terms and Conditions

Special COVID-19 Terms

Given the ongoing impact of COVID-19, if you choose to cancel your tour, we fully understand. The health and wellbeing of our clients and staff remains our highest priority. If your tour date falls within the standard cancellation period, you will be eligible for a 100% travel credit, valid for one year from the date of issuance. This credit is applicable only for future travel with Into Wild Himalaya Adventure Tour and Travels.

General Booking Agreement

Your contract with Into Wild Himalaya Adventure Tour and Travels (hereafter referred to as ‘the Company’) is governed by the following Terms and Conditions. By booking with us, you agree to these Terms and Conditions, which represent the entire agreement between you and the Company. Customized tours may be subject to additional or alternative terms communicated during booking.

1. Tour Booking

  • Bookings are confirmed upon receipt of the deposit. It is your responsibility to ensure all personal and travel information provided is accurate, including valid passports, visas, and permits. We are not liable for denied entries due to documentation issues.

2. Reservation and Deposit

  • A non-refundable deposit of USD 500 per person is required. Payments can be made via bank transfer or TransferWise.
  • For custom private tours, additional deposits may apply depending on supplier requirements.

3. Final Payment

  • Full payment is required no later than 45 days before departure. Failure to comply may result in cancellation without refund of deposit.
  • Bookings made within 30 days of departure require immediate full payment.

4. Cancellation and Refund Policy

  • Deposits are non-refundable. Refunds (excluding deposits) for cancellations made more than 60 days before departure.
  • Cancellations within 59 days will be charged as follows:
    59–42 days: 25% of tour cost
    41–28 days: 50%
    21 days or less: 100%
  • In cases of external events (e.g. natural disaster, terrorism), full refunds or credit will be provided less unrecoverable costs.

5. Currency Fluctuation

  • Prices are based on prevailing exchange rates at the time of publication. Prices may vary due to currency or supplier cost changes.
  • Clients will be notified of price increases no later than 60 days prior to departure.

6. Date Change and Transfer

  • Date changes are not permitted post-confirmation. Transfer to another traveler is possible with USD 50 fee if airline tickets are not issued.

7. International Flights

  • We do not arrange international flights. We are not liable for delays or costs arising from flight disruptions.
  • Referrals to trusted travel agents are available upon request.

8. Health and Fitness

  • Participants must possess reasonable physical fitness. The Company reserves the right to remove individuals who cannot meet tour requirements.
  • Clients with medical or mobility issues must disclose these during booking.

9. Travel Insurance

  • Comprehensive travel insurance is mandatory. Policies must cover health, evacuation, cancellation, and liability.
  • Policy details and emergency contacts must be provided 15 days prior to travel.

10. Baggage

  • Clients are limited to one 20kg checked bag and one 5kg carry-on. Clients are responsible for handling their luggage.

11. Conduct and Behavior

  • Clients must follow the guidance of tour leaders. Misconduct, endangerment, or disruption may result in removal from the tour at personal expense.

12. Company Liability

  • The Company acts as an intermediary for service providers and is not liable for injury, loss, or damage due to external factors.
  • All efforts are made to ensure tour components are delivered as planned. Substitutions may be made when necessary.

13. Living Standards

  • Clients acknowledge that local conditions, services, and infrastructure may differ significantly from those in their home country.

14. Promotional Media Rights

  • The Company reserves the right to use photographs or videos from tours for promotional purposes. Clients not wishing to appear in media must indicate so in writing prior to departure.

15. Complaints and Legal Jurisdiction

  • Complaints must be reported immediately to the local guide or supplier. If unresolved, written complaints must be submitted within 30 days of return.
  • This contract is governed by the laws of India. Legal jurisdiction lies with courts in Himachal Pradesh, India.
